Operations Manager at Classrooms Without Borders

POSITION SUMMARY

The Jewish Federation of Greater Pittsburgh seeks a highly organized and detail-oriented Operations Manager to support the mission and daily operations of Classrooms Without Borders (CWB). The Operations Manager will play a key role in managing financial operations, donor and grant administration, office management, and supporting executive leadership to ensure efficient and effective organizational performance.

ESSENTIAL JOB FUNCTIONS

Essential Job Functions:

Financial Operations

  • Manage payment processing for vendor invoices, seminar participants, and reimbursements.
  • Oversee employee expense reporting and monthly office expenditures.
  • Maintain accurate records of program expenses and revenue.
  • Collaborate with finance partners to process payments and international wire transfers.
  • Prepare annual and program-specific budgets.
  • Create financial reports for internal use and grant submissions.
  • Process check deposits and track endowment statements.

Donor and Grant Management

  • Maintain accurate records of submitted, committed, and prospective donations.
  • Coordinate donor acknowledgments, recognition, and cultivation events.
  • Lead the planning and execution of the annual fundraising dinner.
  • Track and manage grant timelines and submission portals.

Administrative Operations

  • Prepare for and support meetings, including setup, moderation, and follow-up.
  • Review and manage contracts, MOUs, and vendor agreements.
  • Research and recommend new vendors or software solutions as needed.
  • Oversee procurement and inventory of office supplies.
  • Coordinate professional printing of marketing and instructional materials.
  • Manage logistics for visiting scholars, including travel and lodging.
  • Maintain the master organizational calendar.
  • Collaborate on developing office-wide operational policies.

Board and Executive Support

  • Provide administrative support to the Executive Director, including expense reporting.
  • Support the Board by preparing meeting invitations, agendas, and minutes.

Professional Learning

  • Participate in professional development opportunities as needed.

Other Duties

  • Perform other responsibilities as required by the Executive Director or Education Programs Director.

Qualifications:

Education: 

  • Bachelor’s degree preferred, or equivalent relevant experience.

Work Experience:

  • Minimum of 1 year of experience in operations, nonprofit administration, finance, or related fields.

Knowledge/Skills/Certifications:

  • Professional demeanor with discretion and confidentiality.
  • Strong organizational and communication skills with keen attention to detail.
  • Ability to prioritize tasks, multitask, and work independently in a fast-paced environment.
  • Openness to constructive feedback and a commitment to growth.
  • Proficiency with tools such as Google Suite, Microsoft Office, Salesforce, donor management software, WordPress, Formstack, Donorsphere, Adobe, YouTube, and Zoom.

Physical Demands:

  • Extended periods of sitting at a desk and working on a computer.
  • In-person events that include walking and standing.
  • Occasional lifting of items under 15 pounds.

Other Requirements:

  • Availability for some evenings and weekends.

COMPENSATION

This position has a competitive hiring range of $46,412 to $ 66,303 a year, commensurate with experience.
