Budget and Accounting Manager

POSITION SUMMARY

The Budget and Accounting Manager is responsible for the accuracy and integrity of the Federation’s financial records and reporting. Reporting to the AVP of Finance, this key member of the Accounting and Finance Team reviews and posts daily cash activity, maintains the operating general ledger, leads the monthly close, and delivers trial balances, quarterly financials and budget analysis. The role also manages the organization-wide operating budget and prepares, analyzes and presents financial and budget results to department heads and lay leadership, including the Finance Committee. This position works closely with colleagues across the organization to ensure the Federation’s financial position is accurately recorded and reported.

ESSENTIAL JOB FUNCTIONS

  • Review, approve and post all daily cash receipt and cash disbursement activity to the general ledger, including reconciled payments from the donor management database.
  • Lead the monthly close process, including balancing pledges, confirming all entries are posted, and completing month-end account reconciliations (cash, payroll, pledge receivables and unapplied donations).
  • Maintain fixed asset records and reconcile them to the general ledger quarterly.
  • Manage the operating trial balance by reviewing account balances quarterly for reasonableness, booking correcting entries, and delivering reviewed results to the AVP of Finance.
  • Confirm quarterly that payable accounts and donor designated projects are properly managed and that funds are received and distributed on time.
  • Support the annual audit by reconciling accounts, posting closing entries, preparing supporting schedules and financials, and responding to auditor requests.
  • Manage the organization-wide operating budget. Lead the annual budgeting process, partner with department managers on their budgets, roll them up into the organizational budget, and monitor results throughout the year.
  • Prepare and analyze quarterly financial reports for staff, the Finance Committee and the Board, and present budget results to the Finance Committee.
  • Partner with department heads and the Leadership Team to review variances and answer budget questions so programs stay on plan.
  • Oversee the allocation of shared overhead expenses across programs and review allocation models annually.
  • Serve as a resource to the two Accounting Associates, resolving issues and backing up cash receipt and disbursement processing when needed.
  • Report on the activities of fiscal sponsor agencies Classrooms Without Borders and Jewish Women’s Foundation, and work with their teams on payment processing and grant management.
  • Collaborate with the Grant Writer on grant opportunities and provide documentation for grant reporting.
  • Administer debt financing requirements with core partners and financial institutions to ensure timely debt payments.
  • Serve as a power user of Microsoft Dynamics 365 (donor management), Abila MIP (general ledger), and Ramp (payment processing).
  • Continually look for ways to make budgeting and financial reporting more efficient and effective, and support Strategic Plan initiatives related to the role.

Qualifications:

  • Bachelor’s degree in Accounting or Finance required; CPA license or MBA a plus.
  • 5+ years of proven success in accounting and financial analysis, including nonprofit fund accounting, grant accounting, budgeting and forecasting.
  • Experience preparing financial statements and supporting an external audit.
  • Working knowledge of Generally Accepted Accounting Principles (GAAP).
  • Proficiency with accounting software and Microsoft Office, with strong knowledge of Excel formulas and functions. Experience with financial projections and modeling a plus.
  • Strong quantitative and analytical skills, with a talent for summarizing financial information and presenting it clearly to department heads and committees.
  • Excellent written, verbal and interpersonal communication skills with coworkers, volunteers, donors and vendors.
  • Initiative, sound independent judgment, and strong time management to meet deadlines.
  • A positive, team-oriented approach and willingness to help colleagues across the organization.
  • Availability for some evenings and weekends.

COMPENSATION

This position has a competitive hiring range of $75,501 to $107,859 a year, commensurate with experience.
